EYS Bylaws
ELLETTSVILLE YOUTH SPORTS AMENDED BYLAWS
ARTICLE I – NAME, PURPOSE, AND ORGANIZATION
Section 1. Name
The name of the organization shall be Ellettsville Youth Sports (“EYS”).
Section 2. Organization
EYS shall operate as a nonprofit organization organized exclusively for charitable and educational purposes consistent with Section 501(c)(3) of the Internal Revenue Code.
Section 3. Purpose
1. To promote youth participation in organized sports programs.
2. To encourage sportsmanship, integrity, teamwork, and respect.
3. To provide equal opportunity and fair participation for all youth participants.
4. To promote community involvement and volunteer participation.
5. To provide safe and positive recreational opportunities for youth.
6. To support the development and operation of youth athletic programs within the community.
7. To conduct any lawful activity permitted for nonprofit organizations under Indiana law.
ARTICLE II – BOARD OF DIRECTORS
Section 1. Governing Authority
The affairs of EYS shall be governed by the Board of Directors.

Section 3. Commissioners
1. Baseball Commissioner
2. Softball Commissioner
3. Football Commissioner
4. Cheer Commissioner

Section 4. General Board Members
Additional general board members and committee chairpersons may be appointed or elected as determined necessary by the Board.
Section 5. Past President
The Past President may serve as an ex-officio, non-voting advisor to the Board.
Section 6. Terms of Office
All Executive Board Officers and Commissioners shall serve terms of two (2) years.
Terms shall begin on August 1 following election and conclude on July 31 at the expiration of the term.
Section 7. Staggered Election Cycles
1. President and Vice President
2. Secretary and Treasurer
3. Co-Treasurer and Football Commissioner
4. Treasurer and Cheer Commissioner
5. Baseball Commissioner and Softball Commissioner
6. Boys Basketball Commissioner and Girls Basketball Commissioner
Section 8. Vacancies
Vacancies shall be filled by Board appointment for the remainder of the unexpired term.
ARTICLE III – DUTIES OF OFFICERS
President
• Preside over meetings and oversee league operations.
Vice President
• Assist the President and perform duties in the President’s absence.
Secretary
• Maintain meeting minutes, attendance records, and league correspondence.
Treasurer
• Maintain accurate financial records.
• Present financial reports.
• Manage banking and tax documentation.
Co-Treasurer
• Assist the Treasurer with all financial operations.
• Perform Treasurer duties in the Treasurer’s absence.
• Serve as an authorized signer if approved by the Board.
Commissioners
• Coordinate schedules, drafts, and league operations.
• Assist coaches and participants.
• Ensure compliance with league rules and safety standards.
• Communicate and Coordinate with all committees that goes with each division
ARTICLE IV – POWERS OF THE BOARD
The Board shall have authority to:
• Conduct league business
• Adopt policies and procedures
• Appoint committees
• Approve coaches and volunteers
• Suspend or remove members for cause
• Manage league finances and property
ARTICLE V – MEETINGS
Annual meetings shall occur between May 15 and June 30 each year.
A quorum shall consist of at least three voting board members, including at least two Executive Board members.
Meetings shall be governed by Robert’s Rules of Order when not inconsistent with these
bylaws.
ARTICLE VI – BOARD MEMBERSHIP AND CONDUCT
Board members shall conduct themselves professionally and support the mission of EYS.
Board members and volunteers may be required to complete background checks.
ARTICLE VII – FINANCIAL POLICIES
The fiscal year shall run from July 1 through June 30.
League funds shall only be used for lawful nonprofit purposes benefiting EYS.
ARTICLE VIII – COACHES AND VOLUNTEERS
All coaches must submit applications, be approved by the Board, and follow league rules and codes of conduct.
EYS maintains a zero-tolerance policy regarding unsportsmanlike conduct.
ARTICLE IX – RECORDS AND CONFIDENTIALITY
EYS shall maintain accurate financial records, meeting minutes, and organizational documents.
Board members shall maintain confidentiality regarding sensitive organizational matters.
ARTICLE X – AMENDMENTS
These bylaws may be amended by majority vote of the Board of Directors with proper notice.
ARTICLE XI – DISSOLUTION
Upon dissolution of EYS, remaining assets shall be distributed for nonprofit purposes consistent with Section 501(c)(3) of the Internal Revenue Code and Indiana law.
ARTICLE XII – EFFECTIVE DATE
These bylaws shall become effective upon approval by the Board of Directors.
